1. Scope
This policy applies to personal information collected through aeromax.ca and related quote, contact and MaxDepot business inquiries. Separate agreements or notices may apply to customer portals, contracted transportation or warehousing services, employment and other business relationships.
2. Information we collect
- Quote and contact detailsName, business email address, telephone number, company and the content of your message.
- Shipment detailsRequested service, origin, destination, cargo description, piece count, weight, dimensions, timing and other information you choose to include. Shipment information can be personal information when it identifies an individual.
- MaxDepot inquiriesCompany, business type, contact details, a description of warehouse operations and other comments supplied with the inquiry.
- CommunicationsInformation provided in subsequent emails, telephone calls or documents related to the request.
- Limited technical informationThe website and its hosting or security providers may process IP address, browser or device type, requested pages, timestamps and diagnostic or security logs needed to deliver and protect the site.
Do not place payment-card details, government identification numbers, medical information or unrelated sensitive personal information in a public website form. Ask your Aeromax contact how to provide sensitive documents if they are genuinely required.
3. Why we use it
- Respond to a quote request, inquiry or request for support.
- Assess routing, capacity, handling, regulatory and pricing requirements for the requested service.
- Communicate about the request and, when you choose to proceed, establish and manage the resulting business relationship.
- Operate, troubleshoot, secure and improve the website and inquiry process.
- Maintain appropriate business records, prevent misuse and meet legal or regulatory obligations.
If Aeromax needs to use personal information for a materially different purpose, it will provide any additional notice or obtain consent required by applicable law.
4. Who may receive it
Access within Aeromax is limited to people who need the information for the relevant business purpose. Depending on the request, information may also be disclosed to categories of third parties such as:
- Website hosting, security, communications, form-processing and other technology service providers
- Carriers, agents, warehouses, customs service providers and other operational partners needed to evaluate or provide the requested route or service
- Professional advisers, insurers, auditors, regulators, law enforcement or other parties when reasonably necessary to establish, exercise or defend rights, protect people or property, or comply with law
- A successor or transaction counterparty in connection with a proposed or completed corporate transaction, subject to appropriate confidentiality and legal requirements
A service provider may process information for Aeromax only for the work it has been engaged to perform and subject to the applicable agreement and law. Operational partners may also have their own legal responsibilities and privacy notices.
5. Processing outside Quebec or Canada
An international freight request may necessarily involve carriers, agents or other recipients in another province or country. Technology service providers may also process information from locations outside Quebec or Canada. Information in another jurisdiction can be subject to that jurisdiction’s laws and lawful access processes.
6. Retention
Aeromax retains personal information only as long as reasonably necessary for the purposes described above and for applicable legal, accounting, security, dispute-resolution and record-keeping requirements. The appropriate period depends on the nature of the inquiry, whether it becomes a customer relationship and the sensitivity of the information. When information is no longer required, it is deleted, destroyed or anonymized as appropriate and permitted by law.
7. Safeguards
Aeromax uses administrative, technical and physical safeguards appropriate to the nature and sensitivity of information in its control. No website, email or storage system can be guaranteed completely secure. Use care when deciding what to send electronically and contact Aeromax if you believe information has been misdirected or compromised.
8. Your choices and rights
Subject to applicable law and its exceptions, you may request access to personal information about you, ask for inaccurate or incomplete information to be corrected, or withdraw consent where processing depends on consent. Depending on the circumstances and applicable law, other rights may apply. Aeromax may need to verify your identity before completing a request.
Withdrawing consent does not affect prior lawful handling and may prevent Aeromax from completing a request when the information is necessary for the service. You may also raise a concern with the Commission d’accès à l’information du Québec or the Office of the Privacy Commissioner of Canada, as applicable.

Do not send identity documents by ordinary email unless Aeromax has asked for them through an appropriate method.
