MaxFreight Internal Use and Privacy Notice

This notice covers MaxFreight’s internal use and accounting integration. It does not cover use of its customer-facing portal or replace the general website privacy policy and terms.

Privacy notice

Aeromax Logistics Inc. operates MaxFreight TMS for its logistics operations. When enabled, its private accounting integration allows authorized internal staff to manually post customer invoices and carrier bills to Aeromax’s own company account in the connected accounting service. The integration is for Aeromax’s own operations.

Relevant accounting information may include company, customer and supplier names and business contact details; invoice and bill details, dates and amounts; tax information, currency, and transaction identifiers or references. Aeromax uses this information for billing, accounting, reconciliation and business records.

Access is limited by staff permissions and to service providers as necessary to host, support or provide connected accounting services. Hosting and processing may occur outside Quebec or Canada, including the United States. Information may be subject to those jurisdictions’ laws and lawful access processes.

Connection credentials are protected, with access restricted to authorized personnel and services that need them to operate the integration.

Disconnecting a connected accounting service stops further authorized integration access. It does not erase existing accounting records or audit history. Aeromax retains information as needed for applicable business, accounting and legal requirements.

Internal-use terms and end-user license

Aeromax grants authorized staff a limited license to use MaxFreight for assigned Aeromax business duties, subject to their permissions and these terms.

You may connect Aeromax’s accounting account only if you have authority to act for the company and approve that connection. When enabled, the accounting integration connects only to Aeromax’s own company account in the connected accounting service.

Protect your account and credentials, follow Aeromax’s security instructions, and report suspected unauthorized access. Use the application only for authorized business purposes, handle information appropriately, and do not bypass access controls. Review the company, customer or supplier, amounts, taxes, currency and references before manually posting any invoice or bill.

Aeromax administrators may grant, change or revoke access and disconnect accounting services. Connected accounting services and other third-party services remain subject to their own terms.
